POSITION OVERVIEW
Harbor Health is seeking a highly organized and proactive Executive Assistant to support our CEO/Co-Founder at our Austin corporate office. This pivotal role requires a detail-oriented professional who thrives in a fast-paced startup environment and can seamlessly manage both executive support and administrative responsibilities. As the right hand to our CEO, you'll play a crucial role in ensuring operational efficiency while helping to build the foundation of our growing payvider organization. This position offers a unique opportunity to work closely with leadership during an exciting phase of company growth and be an integral part of transforming healthcare in Austin.

POSITION DUTIES & RESPONSIBILITIES

Executive Support

  • Manage the CEO's complex and dynamic calendar, scheduling meetings, coordinating appointments, and prioritizing time-sensitive matters
  • Serve as the primary point of contact and gatekeeper for internal and external stakeholders seeking access to the CEO
  • Prepare materials for meetings, including agendas, presentations, and briefing documents
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Handle confidential information with discretion and maintain the highest level of professionalism
  • Anticipate the CEO's needs and proactively address potential scheduling conflicts or operational challenges

Administrative Responsibilities

  • Manage expense reports, invoices, and reimbursements for the executive-level needs.
  • Coordinate and organize company-wide meetings, town halls, and special events
  • Draft, proofread, and manage correspondence on behalf of the CEO
  • Maintain organized filing systems for both physical and digital documents
  • Support special projects and initiatives as directed by the CEO
  • Assist with onboarding processes and office operations as the company scales
  • Coordinate with other departments to ensure smooth communication flow throughout the organization

DESIRED PROFESSIONAL SKILLS & EXPERIENCE

 

Required Qualifications

  • 5+ years of experience as an Executive Assistant supporting C-level executives, preferably in a startup or high-growth environment
  • Exceptional organizational and time management skills with the ability to manage competing priorities
  • Outstanding written and verbal communication skills
  • Advanced proficiency in Google Workspace and presentation software
  • Proven ability to handle confidential information with discretion and sound judgment
  • Strong problem-solving skills and the ability to work independently with minimal supervision
  • Flexibility and adaptability in a fast-paced, evolving startup environment

Preferred Qualifications

  • Experience in healthcare, technology, or startup environments
  • Familiarity with project management tools and software
  • Bachelor's degree or equivalent professional experience
  • Experience supporting founders or managing cross-functional coordination
  • Proactive mindset with strong anticipatory skills
